Why did the CV change?

Shortly after Advance was launched in March 2011, we began accepting suggestions for improving the functionality of the CV module of the system, with the understanding that no changes to the CV format would be made until at least three full review cycles had been completed. Suggestions from faculty came from two perspectives:

  • Feedback from faculty indicated the need for
    • More help in understanding where to enter information into My CV
    • Better tools for editing
    • Flexibility for using the CV outside of the academic review process (coming soon)
  • Campus reviewers asked that the Packet CV be modified to facilitate review

The CV redesign will be released in two phases:

February 2016

Enhancements to “My CV”, the version of your CV that is used for academic review

June 2016

New functionality for a “Custom CV” module which allows you to save multiple, personally customized, versions of your CV in Advance

My CV

What you'll notice first:

  • Short Cut panel is opened when you open My CV
  • Sticky Header, a header with tools that follows you as you scroll through the CV
  • The Edit and Information icons only appear when you scroll over a section of the CV
  • If you have started to edit your CV and have not saved your work, Advance will remind you to save after 30 minutes. If you do not save, Advance will assume you are no longer working on the CV and automatically save your work

What do I have to do?

CV SECTIONS TO BE ELIMINATED

RECOMMENDED ACTION

Clinical

If you are a clinician, you will have to move (copy/paste) the information from this section into the new Clinical Services section

Teaching and Mentoring Awards and Nominations

Check the Honors and Awards section to ensure that these have copied to the correct location

Postgraduate and Other Courses

Check the Formal Teaching section to ensure that these items have copied to the correct location

Teaching and Mentoring Aids

Check the Other Creative Activities section to ensure that these have copied to the correct location

Other (Teaching)

Check the Other Creative Activities section to ensure that these have copied to the correct location

NEW CV SECTIONS

RECOMMENDED ACTION

Contributions to Diversity

Complete as appropriate (optional)

Clinical Services

If you are a clinician, complete the Clinical Services section with the information you previously had entered into the Clinical section

Academic Leadership

If you hold or have held a leadership position such as Chair or Dean, complete the Academic Leadership section as appropriate

Educator Portfolio

We anticipate that this section will be used primarily by those faculty who currently use the Educator Portfolio – this section will not be used by most faculty.  For those whose primary creative endeavor is education, consider documenting your educational scholarship by selecting and completing the Educator Overview option under Teaching Summary, and then completing appropriate sections of the Educator Portfolio found below Publications within the Research and Creative Activities section of the CV

OTHER CHANGES

RECOMMENDED ACTION

Mentoring sections:

  • Predoctoral Students Supervised or Mentored
  • Postdoctoral Fellows and Residents Mentored
  • Faculty Mentoring

A new field, Mentor Type, was created to help identify the specific mentoring activity(ies) you engaged in. The existing Role field should be used to clarify what you did. Those who are new to Advance should use these fields as indicated; current Advance users may update their mentoring sections at their convenience.

What do I do if I have already copied my CV into a packet?

  1. The CV in your packet will remain in the old format until you copy a new version into the packet.  If your CV is correct, no need to do anything.
  2. If your packet has already been routed to the Dean's Office or beyond, do nothing unless asked to copy another version of your CV into your packet.
  3. If your packet is still in the Department and you want to change something, you may copy another version of your CV into your packet, but you will have to review the My CV data to see whether you have to modify anything. See “what do I have to do?” section above.
  4. If you want to, or are asked to copy a new CV into your packet, review the My CV data to make sure that it represents your academic accomplishments within the new CV framework. See “What do I have to do?” to understand the steps you should take to add anything to or modify anything in your CV.

For Packet Reviewers

How do I review a CV in a packet that has a CV in the old format?

The CV in the old format has no navigation tools, so you’ll need to use a combination of the following to facilitate review:

  • Scroll using the scroll bar
  • Use the Page Up and Page Down keys to jump a “page” at a time
  • Scroll wheel on your mouse
  • Swipe on your track pad – this differs depending upon operating system and computer brand
  • Use the browser’s ‘Find” function to jump through the CV to words you type in the Find field – Ctrl-F on a PC; Cmd-F on a Mac

How do I review a CV in a packet that has the new CV format?

What you’ll notice first:

  • Short Cut panel is opened when you open My CV
  • Sticky Header follows you as you scroll through the CV
  • Use the shortcut panel to jump from section to section

Use the tools in the Sticky Header to facilitate review:

  • Filter the CV by number of years you want to review in the CV – click the number to display only that data (click "3" to see the past three year’s data)
  • Highlight tool – type text in this field and click the pencil to highlight that text in the CV – may be useful to see that candidate name in a list of authors
  • Sort – this will reverse the order each section of the CV as copied to the packet
  • Shrink – this will reduce the size of long sections of the CV by placing them in a scrollable window
  • View Prior CV will open the CV from the candidate’s last successful packet in a new tab within your browser
  • Row Lines will turn on/off row lines that visually separate items within the CV
  • Empty Sections will hide/display sections of the CV that contain no text
